Since Tennessee is definitely one of the most beautiful places in the world to marry, it’s no wonder that we certainly have our fair share of wedding venues for brides to pick and choose from. These wedding venues often are so perfect for a couple’s nuptials that they provide multiple amenities that make planning all the more convenient. One such addition to your wedding venue rental package may include an on-site wedding coordinator, which is a huge plus for Tennessee brides before, during, and even after the big day.

With this fact in mind, I chatted with Toni Williams, Director of Events and on-site wedding coordinator for premier Memphis wedding venue, Spring Creek Ranch! This venue has breathtaking details and amazing options for brides and grooms looking to marry in Tennessee, and Toni provides a wealth of assistance and knowledge throughout the planning process. Read on for our five reasons why you should definitely feel comfortable using an on-site wedding coordinator for your big day!

1. On-site wedding coordinators and event managers know the venue like the back of their hand.

Not only is this a fact because it’s imperative to their job, but it’s also a fact because the venue is likely a passion of theirs.

Toni details that this helps in all aspects of planning – from finding the perfect area on the grounds for engagement pictures, to picking the best vendors for the venue, and even getting a solid rain plan underway that’s already been tested and approved by previous events!

2. An on-site wedding coordinator will already be fully aware of the venue’s policies and restrictions.

From preferred vendor lists to avoiding dreaded hiccups in planning mere days before your celebration, Toni states that having someone on-hand who knows the venue’s contract forwards and backwards is an absolute stress-reliever for the bride and groom. Even better, however, is that using the on-site wedding coordinator lets you get answers to your questions and concerns immediately.

“It basically eliminates the doubt and wait involved in having a middle man,” Toni details.

3. Not only will an on-site wedding coordinator be aware of your needs, requests, and special arrangements, but he or she will also know how to implement those details immediately with minimal time for planning.

This includes everything you plan for and everything you may not think to request, from your rain plan to escorting handicapped guests onto the premises and even getting on the grounds before or after your rental time. The on-site coordinator can assist you with all this because he or she has the authority to “make the call,” so to speak. Again, as Toni describes, using the on-site coordinator truly does eliminate the middle man. That means you get the answers you need immediately – no waiting involved.

4. Your on-site wedding coordinator can help you before and after the wedding!

This is a big detail that you shouldn’t forget. Because they work there and have access to the property at most (if not all) times, your on-site wedding coordinator will be able to assist you with every single detail before, during, and after the celebration. This can be anything from early drop-off to next-day clean up. Furthermore, Toni details that she always helps with your timeline before and after the big day to make sure everything runs smoothly from start to finish.

5. An on-site wedding coordinator is experienced.

It’s important to note that Tennessee wedding venues are very good about selecting and hiring experienced professionals for such important roles as event managers and on-site wedding coordinators. This means that your on-site wedding coordinator not only knows the venue better than anyone else, but also knows how to coordinate a large-scale event like your wedding with ease and expertise.

“My job is to take the stress off of the mom and bride,” Toni explains. “I make sure we focus on the details we can control so that we minimize the stress involved in the things we can’t control.” Toni goes on to detail that she often gets so personally involved with the brides that she cries as they walk down the aisle to begin their future! “It’s the biggest day of your life,” she states. “You need someone who is 100% invested and totally involved in your planning process.”

An on-site event manager and wedding coordinator like Toni fits the bill perfectly to ensure you have everything you need and want on such a special, once-in-a-lifetime day.

Toni Williams has spent the last 25 years as an event planner. She joined Spring Creek Ranch back in 2007 and has loved every moment at the breathtaking venue.

Spring Creek Ranch is a members-only club with gorgeous amenities popular to all Memphis-area brides, both members and non-members. This popularity for the venue’s fabulous stone, glass, wood, and natural light facilities has led the site to aspirations of expanding in the future. This future project will be called The Retreat at Spring Creek Ranch.

While not set in stone as of yet, the venue is hopeful to be able to accommodate up to 400 people in a waterfront area that overlooks the tranquility of the nearby lake. Additional plans Toni details that they are hopeful for include a luxury barn on the property, which will hold up to 200 guests. Neighboring cabins for overnight stays and even a spa for pampering services are yet more aspirations the venue hopes to add to its charm within the future. Spring Creek Ranch also plans to have a farm where they grow their own vegetables for each catering event, meaning you get the freshest, finest farm-to-table ingredients for your celebration.

The venue currently offers brides and grooms amazing rental packages, which include the use of Toni’s on-site wedding coordination and customization services throughout the planning process. This, of course, is in addition to rental of the space, set up and clean up services, use of their tables and chairs, white table cloths, black napkins, and a tasting for the bride and groom. The site can currently host between 50 and 650 guests on the premises with a tent. Spring Creek Ranch also boasts its own impeccable catering service for events on site. The head chef and Toni sit down with the bride and groom to create a custom menu for each event. In consideration for your unique tastes, desires, and budget, you are never forced to pick from a pre-arranged menu. It’s all customized to meet your needs!
