When it comes to planning your wedding rental order, many brides don’t think about timing or inventory issues that can arise easily – especially within popular wedding months.

That’s why I chatted recently with Sherry and Sheila of Tri-Cities rental company Celebrate Rentals to learn more about what brides should consider as they plan. The ladies had three great tips to keep in mind before placing your wedding rental order, and we’re so glad to share them with you below! Get in-the-know and avoid heartache during the weeks leading up to your big day by following these three fabulous pieces of advice.

1. Timing is of the essence when planning your wedding rental order.

Many brides think they can walk into a rental company the week of their wedding and be able to secure everything needed right then. While some large rental companies frequently can accommodate such requests, you generally will have the best selection of rental possibilities if you reserve much earlier. For example, Sheila details that Celebrate Rentals’ crystal trees are a very hot commodity right now, and they’re frequently reserved months in advance. For popular months to get married in – like summer celebrations – consider reserving as soon as you have your invitation list settled, months ahead of the wedding. At Celebrate, they like you to come in at least two weeks prior to your event to ensure that they have everything you’ll need available on your date.

2. Don’t be pessimistic with your wedding guest numbers when reserving wedding rentals!

“Brides often reserve too little,” Sheila details. What we suggest doing is to check with your rental company about the rental policies before placing your order. If your rental company won’t penalize you for reducing your rental order later, you can overshoot your numbers to ensure you have enough reserved. Celebrate Rentals does not penalize for this, and your 50% deposit goes towards your final rental bill. So just how many guests should you reserve for? We suggest beginning with the total number of people you’re inviting, and adjusting your numbers later, after most RSVPs have been sent in. This way, you will have the same uniform look for every part of your rental order, rather than settling on leftovers to have enough chairs or linens at the last minute.

3. If you’re opting for specialty linens, check (and double check) your wedding rental order.

Don’t wait too long to request specialty linens. Your rental company may need to order them to have enough in-stock for your big day, so discuss this with your event contact ASAP! At Celebrate, they can generally have what you need available if you give them a two-week notice, but always check with your rental company to make sure…and always request enough for the maximum amount of guests on your list. Specialty linens can be hard to order at the last minute!
